These Terms and Conditions apply only to Private Tuition delivered by Ely Classrooms.
At Ely Classrooms, we aim to offer high-quality, flexible tuition while ensuring fairness for all families and tutors. The following terms set out how our 1-1, 2-1 and small group lessons operate, including booking, payment, cancellation, and communication procedures.

Individual lessons (1-1)
How they work
1-1 lessons provide a dedicated learning slot for one student with a tutor. Each pupil is allocated a specific day and time (for example, Mondays at 5:00 p.m.) which is reserved for them weekly or fortnightly. This time slot remains theirs for as long as the arrangement continues.
Bookings can only be made for these pre-agreed time slots. Any changes must be arranged directly through Ely Classrooms rather than booked online.
Booking and payment
- Once a slot is booked, it’s kept for the student on an ongoing basis, and we don’t offer it to others.
- Payment is due by the day before each scheduled lesson. Families can choose to pay weekly or in advance for a block of sessions—whichever is easiest.
- Because the slot is reserved especially for the student, sessions that aren’t paid for or cancelled without notice will still be charged.
Scheduled cancellations and changes
- If a student needs to change or cancel a lesson, please give as much notice as possible.
- If a change of time or day is needed for one particular week, we will try to accommodate this. The regular slot will be held for future dates.
- If payment has already been made for a session that needs to be cancelled or rescheduled, we will credit payment toward a future session or refund the payment (minus a small administration fee), where possible.
Illness or unforeseen difficulties
- If a pupil is unwell or unable to attend, please let us know at least two hours before the scheduled lesson.
- If we are informed within that timeframe, we will offer either a credit toward a future session or a refund (minus the small administration fee).
- If notice is not received at least two hours before the scheduled lesson, the full session fee will be charged.
- We understand that unexpected events sometimes occur (for example, transport problems or family emergencies). In such cases, we will try to be accommodating and will usually credit the lesson toward a future session, at our discretion.
Lateness and attendance
- If a student is going to be late, please text the Ely Classrooms number above.
- Tutors will wait for up to 15 minutes after the scheduled start time.
- If a pupil does not arrive or make contact within that time, the tutor may leave, and the session will be charged in full.
Paired lessons (2-1)
How they work
Paired lessons (2-1) provide a shared learning experience for two pupils who are working at a similar level. Each pair is allocated a specific day and time (for example, Tuesdays at 4:30 p.m.), which is reserved for them weekly or fortnightly. This time slot remains the same for both pupils to ensure continuity and progress.
Bookings can only be made for these pre-agreed paired slots. Any changes must be arranged directly through Ely Classrooms rather than booked online.
Booking and payment
- Paired lessons are booked in blocks of four sessions to ensure consistency and fairness.
- Both families must confirm and pay before the first session in each block.
- If a block finishes before the end of the school year, we’ll simply invoice for the remaining weeks.
Changes and absences
- Any changes (such as skipping a week) must be agreed by both families.
- Missed sessions (no-shows) cannot be refunded.
Illness or unforeseen difficulties
- If one pupil is unwell or unable to attend and we are informed before 10:00 a.m. on the day of the lesson, the other pupil may still attend and the absent pupil will receive a £15 refund for that session.
- If no notice is received before 10:00 a.m., the full payment will be charged, even if the pupil is absent.
- If both pupils are absent and no notice is received, the full payment will still apply for both students.
- We understand that unexpected events sometimes occur (for example, transport problems or family emergencies). In such cases, we will try to be accommodating and may offer a credit toward a future session, depending on circumstances and tutor availability.
Small group lessons (3–8 pupils)
How they work
Small group lessons offer a structured and supportive learning environment for between three and six pupils. Each group follows a set course or programme designed to build skills and confidence over time. Pupils attend on a specific day and time for the full duration of the course, and places are limited to maintain quality and individual attention.
Booking and payment
- Small group lessons are booked as complete courses, not individual sessions.
Payment can be made in full or via an instalment plan, as agreed at the time of booking. - Once a place is confirmed, the booking covers the full course duration and cannot be reduced, cancelled, or refunded part-way through.
- This policy ensures fairness for all participants and allows us to keep group sizes stable.
Changes and absences
- Because group sessions depend on continuity and fairness to all pupils, missed sessions cannot be refunded or rescheduled.
- If a pupil cannot attend a particular week, the session will continue as planned for the rest of the group.
- In the event of serious illness or unavoidable long-term absence, please contact Ely Classrooms to discuss the situation. We will always try to be fair and consider appropriate options.
Tutor availability and communication
If a tutor is unwell or needs to change their availability, we will notify families as soon as possible and arrange either a rescheduled lesson or a temporary pause, as appropriate.
Any concerns about individual tutors should be directed to allison@elyclassrooms.co.uk. Allison will communicate directly with the tutor and aim to resolve the issue. In some cases, and where appropriate and possible, we may agree to change tutors depending on availability and suitability.
Direct arrangement policy
All scheduling, communication, and payments for lessons must go through Ely Classrooms. Families and tutors must not make private arrangements for lessons, payments, or scheduling outside of Ely Classrooms. This ensures transparency, safeguarding, and consistency for all parties.
Agreement
By booking lessons with Ely Classrooms, families confirm that they have read and agree to these Terms and Conditions.
